About the Extension Types

An extension is a unqiue profile that enables your callers and employees to communicate by phone, a conference bridge, fax and/or voicemails. There are six types of extensions, each serving a purpose to meet a specific business need:

User
A User extension is for employees who will use an IP phone or a Mobile phone with the service.  It includes access to the web portal, a voicemail box, and all standard Aptela features.  (Employees who will utilize an IP phone must be setup on a VoIP Calling Plan.)

Department
A Department extension is used to route inbound calls to more than one person. Departments are useful for creating Hunt Groups (Ring Groups) for users’ extensions, so your calls can be answered as quickly as possible by a defined dialing method and a pre-established group of people.

Features within a Department are similar to those offered with a user extension and include: voicemail, notifications and call screening. A Department also allows for "managers”, which are users who have permission to manage department settings without being logged in as the Account Administrator.

Conference
A Conference extension is recommended for customers who host conference calls with three or more people.  Participants will access conferences by dialing a phone number on your account and entering the conference extension and  PIN.

Fax Machine
A Fax Machine extension allows employees to send and/or receive faxes using a traditional fax machine.  Please note that you must have an analog-to-digital converter (“ATA”), such as a Linksys SPA 2102, to connect the fax machine for use with Aptela.

Phone
A Phone extension is recommended for phones located in common areas that will receive limited use, such as lobbies, conference rooms and/or break rooms. It does not offer access to the web portal, voicemail, Find Me Lists, etc. It only allows you to make, receive and transfer calls.

Voicemail
A Voicemail extension routes incoming calls directly to a voicemail box, and is useful for people who require voicemail capabilities, but do not need a phone.  It allows for voicemail notifications, but does not offer access to the web portal, inbound or outbound calling, a Find Me List or other Aptela features.
