A User extension is for employees who will use an IP phone or a Mobile phone with the service. It includes a voicemail box, and all standard Aptela features. (Employees who will utilize an IP phone must be setup on a VoIP Calling Plan.)
To add a new User extension (VoIP or Mobile):
- Log into Aptela as the admin: my.aptela.com.
- You will be defaulted to the Users tab of the Extensions page.
- Click the Add User button.
- Fill in all required fields. Also confirm settings for optional fields. (See picture below.)
- Click Save.
- Aptela will email the employee and the admin the employee’s account login credentials (username, temporary password and client ID).
Tips
- The green question marks throughout the app will define options and settings
- Calling Plans - be sure to use the calling plan (billing usage plan) that meets your needs
- Mobile Plans include two ptions Basic Plan (pay per minute) or the Professional Plan (a virtually unlimited option including a set number of minutes per user with overage fees).
- VoIP plans include three options: Basic (pay as you go), Professional (includes a set number of minutes per user with overage fees) or Unlimited (includes a shared number of minutes amongst every user on the VoIP Unlimited Calling Plan - enough time for more than 99% of our current customers).
- After adding the User, make sure he/she refers to the User Guide for tips on setting up voicemail and to download the necessary Quick Calling Guide. If the user will use an IP phone (VoIP user), refer to our Phone Resources for installation instructions.
- If the user should be part of a department, add him/her to it.
- If the user should have an assigned phone number, assign it (if you need to purchase the number, submit an Account Change ticket on our support page).
When calling into support or submitting a web ticket to perform these tasks, be prepared to provide the administrator security answer.
