Fax Services available through Aptela
Aptela offers two fax services to transmit faxes: virtual faxing and analog-to-digital faxing via a fax machine.  Both services use an Internet connection.  They can be used independently, or you can use both to send faxes.  
Virtual Faxing
Virtual faxing eliminates the need for a traditional fax machine.   This service transmits faxes via electronic systems such as your User web account.  All employees setup on the User extension type can send faxes – the feature is included with their service plan.  Benefits of virtual faxing include user mobility, ease of forwarding, notification alerts in email, electronic copies, paperless (green savings), and more.
Faxes are sent via a user’s online account by attaching a document of a particular file format.  Faxes can be received in a user’s or a department’s online account.  Or with our fax notification feature, faxes can be sent to designated email inboxes.
You will need one or more of the following to use our virtual fax service:
· Internet connection
· User extension
· Fax number (required to receive faxes)
· Software that accommodates our supported file formats (required to send faxes)
· Adobe reader (required to view received faxes)
· Fax notifications setup (optional for receiving faxes)
Fax Machines (Analog-to-Digital Faxing)
Though virtual faxing has become popular, some companies still use a fax machine to transmit faxes.  The major difference when using a fax machine with VoIP is that you will use your Internet connection and network devices. 
You will need one or more of the following to use a fax machine:
· Internet connection
· Correct settings on your router or firewall
· Fax Machine extension
· Linksys 2102 or 3102 ATA (Analog Terminal Adapter)
· Fax number (required to receive faxes)
Aptela offers two fax services for sending faxes: virtual faxing and analog-to-digital faxing via a fax machine.  They can be used independently or you can use both to send faxes. 

Virtual Faxing

Virtual faxing eliminates the need for a traditional fax machine.  All employees on a VoIP or Mobile calling plan can send faxes. Faxes are sent from the User Dashboard with a "Send Fax" wizard. The wizard walks you through creating a cover page and attaching a document to send as a fax.

To receive faxes, the account must set up one or more phone numbers as a fax number. The fax number can then point to a user or Department to receive the faxes. With Aptela's fax notifications, received faxes may also be sent to email addresses. Received faxes are stored on the Aptela system for 90 days.

You will need one or more of the following to use our virtual fax service:
  • User extension - all users can send virtual faxes
  • Fax number - required to receive faxes
  • Software that accommodates our supported file formats to send faxes  (PDF, PPT/PPTX, DOC/DOCX, HTML/HTM, TIF/TIFF)
  • Adobe Reader - required to view received faxes
  • Fax notifications - option to have received faxes forward to one or more email addresses
