Before getting started, log into Aptela and confirm the extension your virtual fax number is assigned to.
To send virtual faxes to email inboxes:
Users- Log into my.aptela.com.
- Click My Account at the top of the page.
- Click the Notifications tab.
- Check the box for Enable fax notifications.
- Enter your email address or modify the current address in the Send notification to field. Separate multiple addresses with a comma.
Only the account admin and department manager can setup notifications for a department.

- Click the Notifications tab.
- Check the box for Enable fax notifications.
- Enter your email address or modify the current address in the Send notification to field. Separate multiple addresses with a comma.
Notes:
- When you receive new virtual faxes, Aptela will send you the document as a PDF attachment via email. To ensure delivery of emails, please add notifications@aptela.com to your safe sender's list.
- Received and sent faxes are stored within the Aptela portal for up to 90 days. For sent faxes that fail, the content is removed after 7 days.
- Keep as new determines if your faxes will show up as “new” in the web account’s fax history. If you rely on email notification to manage your faxes, you may want to uncheck this box. However, if you prefer to download faxes from the online account, you should keep the box checked. In either case, your faxes will be accessible and downloadable via the web account.
- To ensure notifications are delivered, make sure the Maximum attachment size does not exceed the amount your email provider will allow. This setting is located to the right of your notifications. To confirm the maximum attachment size allowed, contact your email provider.
