User and Department extensions can set a custom Inbound Caller ID if the admin has opted to allow extensions to override the account-wide setting.
By default, all incoming calls will display the account-wide Inbound Caller ID setting established by the account administrator. If, however, a caller blocks their information, the phone’s LCD will display something similar to Anonymous or Unknown in addition to a false phone number (555-555-5555).
The following instructions apply to extensions with overriding permissions only. If permission is not granted for your extension and you wish to change the current Inbound Caller ID information, please contact to your internal account administrator.
Inbound Caller ID: User & Department Setup
Users: Within the user web account, click My Account at the top of the page, and then click the Call Preferences tab. Set the Inbound Caller ID setting based on your needs for name and/or number appearance.
Departments: Within the user web account, double-click on the department (bottom right of User Dashboard). Click Settings at the top of the page, and then click the Call Handling tab. Set the Inbound Caller ID setting based on your needs for name and/or number appearance.
NOTE: Only the department manager and account admin can access the department’s inbound caller ID setting.
Inbound Caller ID Options
Name Display Options:
- Account Default: use the setting that was selected by the account admin.
- Caller's Name: show the caller’s name. NOTE: this will appear if Aptela is able to obtain it.
- Called Account Name: show your account (company) name.
- Called Extension: show the user and/or department user name. If selected for a user, the phone's LCD will display the user's name when the user's direct extension is called (e.g., Jane Doe). If selected for a department, the LCD of the member's phone will show the department’s name when the department extension is called (e.g., Sales).
Number Display Options:
- Account Default: use the setting that was selected by the account admin.
- Caller's Number: show the caller’s number.
- Called Account Number: show the account’s main phone number. This is the Default Caller ID displayed in the user account under the Phonebook > Phone Numbers tab.
- Called Number: show the number dialed by the caller or a forwarding service. This is useful if you have multiple numbers and you want to see the number that was dialed before you answer the call, and is extremely useful for customers who have more than one Auto Attendant to support their multiple businesses.
