Sending virtual faxes

All employees setup on the User extension type can send virtual faxes – the feature is included with their service plan.  A fax number is not required for sending.  
To send faxes:
1. Log into your user account: my.aptela.com.
2. Click the Send Fax bar in the middle column of the User Dashboard.
3. Click on the Fax Assistant button. 
4. Enter the fax number in the Destination Number field.  If you are sending to a contact, click the Send to Contact tab and choose the contact.  
5. Then choose whether or not to include a cover sheet and click Next.  By default, a cover sheet is included.
6. If using a cover sheet, type in the cover sheet text: Destination Info, Subject, and Message Body.  If the Sender Info was not saved from a previous fax, type it in also.  Then click Next.  TIP: Save time when sending future faxes by Saving your cover sheet.  
7. Select Add Files to browse your computer for the file(s) you wish to fax.  We recommend PDF files for the highest quality transmission.  If you attach multiple files, you can reorder them to prioritize the order in which you want to send them.  Aptela will send the files in sequence starting with the first file.
8. After adding your files and/or ordering them, click Review Details.
9. Click Send Fax.  Your fax is now being sent.
If you are using our fax notifications feature, you will receive a confirmation email indicating if the fax was sent successfully or if it failed.  You can also check the status in your fax history.
NOTE: Files with many and/or complex graphics (e.g., color, 96+ dpi) will take longer to transmit.  While the faxes may transmit at a longer than normal rate, transmission errors may occur.  When sending your virtual fax, please keep our best practices in mind.

The sent fax file attachments are stored within the Aptela system for up to 90 days. Faxes associated with failed sent attempts will be purged after 7 days. 

NOTE:
Files with many and/or complex graphics (e.g., color, 96+ dpi, PowerPoint presentations) will take longer to transmit.  While the faxes may transmit at a longer than normal rate, transmission errors may occur.  When sending your virtual fax, please keep our best practices in mind.
