This is the routing menu presented to incoming callers. Here you will create options for the caller. Example: "Press 1 to dial by name, Press 2 to dial by extension, Press 3 to speak to a sales representative, Press 4 to speak with customer service, Press 9 to replay this menu. “
To get started, click the green plus sign to the right of “Main Menu”:

Routing options include:
- Call a destination
- Select this option to send the caller to a user or department, another auto attendant, a conference extension, to a voicemail box or to the voicemail system for quick access to check voicemail.
- Create a submenu
- When the first option is selected, this submenu presents another list of options for callers. Example: The main option was “Press 1 for support”, the submenu will then present options such as, “press 1 for assistance with product x, press 2 for assistance with product y.”
- Dial by name
- This option is pre-configured for you. When selected, the caller will be prompted to enter the first five letters of a person’s name. The system will present possible matches to the caller. Upon selection of a user, the caller will be transferred.
- Dial by extension
- This option is pre-configured for you. When selected, the caller will be prompted to dial the extension.
- Advanced options: Audio block record
- This option will play an audio message that you will record through the phone. This option is often used to provide directions to an office, answers to common questions, instructions, and more.
- Advanced options: Audio block upload
- Similar to the above, this option will play an audio message that you have pre-recorded and stored on your desktop. Search for the file and upload it here.
- Advanced Options: Fax back
- This option offers the ability to fax a document back to the caller. Search for the document on your computer and upload it here. Once uploaded, when a caller selects this option off of your menu, Aptela will fax this document back to the caller. This is often used to send a forms, brochures or directions.
Main Menu Audio Prompts
Once the components of the main menu are created, click on the Main Menu folder so that you see Audio Prompts and a large box in the right column. This is where you will create the audio presenting the menu options to callers. You can create a separate audio file for each menu item, or one long audio file that records all menu items.
You may record the audio using your phone, upload the audio file from your computer, or browse and upload it from Aptela’s Media Library. This last item is only valid if you had already uploaded the file to the Media Library.
